Vik Immigration

Privacy Policy

This Privacy Policy is provided as general information and a starting template. It should be reviewed and adapted by the firm before being relied upon.

Vik Immigration Services (“we”, “us”, “our”) respects your privacy. This policy explains what personal information we collect through this website and in the course of providing Canadian immigration services, how we use it, and the choices you have. It is written to align with the Personal Information Protection and Electronic Documents Act (PIPEDA) and our professional obligations as a practice regulated by the College of Immigration and Citizenship Consultants (CICC).

1. What we collect

Information you provide. When you book a consultation, submit a written question, send a message through our forms, or retain us, we collect the information you choose to share — such as your name, email address, phone number, immigration category, and the details of your question or case. Immigration matters often involve sensitive information (immigration history, family details, employment, and identity documents); we collect only what is needed to provide the service you request.

Payment information. Payments are processed by third-party payment processors (such as Stripe). We do not store your full card details on this website.

Technical information. Like most websites, we receive standard technical data such as IP address, browser type, and pages visited. Embedded services on this site — such as our scheduling calendar (Calendly), Instagram feed, and analytics — may set cookies or collect usage data under their own privacy policies.

2. How we use your information

We use personal information to respond to your inquiries, deliver consultations and written answers, provide immigration advice and representation, process payments, maintain required client records, communicate with you about your matter, and meet our legal and regulatory obligations. We do not sell your personal information, and we do not use your case information for marketing.

3. Confidentiality and professional obligations

Information you share in the course of a consultation or retainer is treated as confidential, consistent with the CICC Code of Professional Conduct. Anonymized case outcomes are published on this website only in general terms and without identifying details.

4. When we share information

We share personal information only as needed to provide our services and operate this website: with government bodies and authorities (such as IRCC and ESDC) when you instruct us to act on your behalf; with service providers that support our operations (hosting, scheduling, forms, payment processing, email); and where required by law or by our regulator. Service providers may store data outside Canada (for example, in the United States), where it may be subject to the laws of those jurisdictions.

5. Retention

We retain client records for as long as required to serve you and to meet CICC record-keeping and legal requirements, after which information is securely deleted or destroyed. Website form submissions are kept only as long as needed to respond and follow up.

6. Safeguards

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information — including encrypted connections (HTTPS), access controls, and reputable service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your rights

Subject to legal and regulatory limits, you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent to further collection and use. To make a request, contact us using the details below. You may also complain to the Office of the Privacy Commissioner of Canada.

8. Cookies and embedded content

This site uses a small number of cookies and embedded third-party services (scheduling, social feeds, forms, and analytics). You can control cookies through your browser settings; disabling them may affect some features, such as booking.

9. Children

Our services are directed to adults. Information about minors is collected only from a parent or guardian in connection with an immigration matter.

10. Changes to this policy

We may update this policy from time to time. The current version will always be posted on this page.
